It took me TWO years to replace my Executive Assistant.
I still vividly remember the chaos. Jumping between overflowing inboxes, calendar issues (being triple booked), constantly interrupted by questions from my team, and the days blurred together as I could feel myself burning out. I honestly couldn’t imagine a light at the end of the tunnel.
I hired assistants from top companies like Microsoft and Intel, even one that worked with a billionaire, but one after the other, they failed to meet my expectations.
They came with a ton of bad habits on how they thought things should work and were not open to feedback on how I needed things done.
One even quit because I asked for help in my personal life, although it’s just what I needed to get through the week.

I was so scarred from hiring bad EAs, that I ended up severely limiting what I gave to them. In reality, this is hardly what I actually needed I knew it and my team knew it.

After 2 years, I finally hired Jen.
Jen had already worked with a few entrepreneurs before me so I was excited to hit the ground running with her.
I knew that she wasn’t AS experienced, but she was HUNGRY.
Although Jen had been an EA for THREE years, I realized she had no idea how to actually support an executive. Jen had bosses, but really poor mentors. They didn’t do a great job of training her. It took me almost 6 months of constant feedback to train her until I finally felt that she was an extension of me.
After a year, she was an absolute rockstar, and I routinely started getting asked where they could find their own “Jen.”
I worked with Jen to create a system that worked for us.
With Jen, and every EA I had after Jen, I told them one thing on their first day: “I know you’re going to leave one day. The only thing I expect is for you to train the next person for me. I know you will be successful, when I don’t feel that anything has actually changed.” In this case Jen was promoted to another role so I was on the hunt again for a new EA. The reality was that even though most of the fundamentals and my best practices did get passed on, I still had to step in give a lot of feedback.
I realized I was far from a system that made this transition completely seamless.
Here’s the thing…
EAs learn individualized (unique to each executive) work styles, not standardized frameworks and best practices.
EAs are NOT consultants.
To make things worse, when does a busy entrepreneur or executive have time to work on a system for themselves when they are constantly working “in” or “on” the business?
Most do not have an actual system for onboarding, so the EA and the executive have to figure things out as they go along and just figure out how to work together.
They need to build trust and figure out a new system that works for them…
The worst part?
The only guarantee that you have is that you will have a new EA one day. Once that EA leaves, they take all of their understanding of your unique preferences, the nuances, the processes it ALL leaves with them.
Then you are back to square one.
This problem is so painful that most people never let go of their EA, even if they’re mediocre at best…
I started Atlas Assistants to solve this problem.
I set out to help people hire and train their executive assistants so they could be their secret weapon.
I knew the only way to do this was to standardize all the best practices and create systems on how an EA and an executive should actually work together.
I wanted a proven system that an entrepreneur can plug into so that their EA was effective on day one, and got better with every passing week.
When we started enrolling clients for the agency, I was on sales calls telling people this one fact:

🫠 The thing is…I knew I was in the same boat.
I knew my EAs did a great job FOR ME, but I didn’t know if it was actually the BEST way for an EA to work with an executive.
I needed something that was repeatable and duplicatable.
I needed a system that I could roll out to not only my own EA, but to every single one of clients as well.
👌🏻 I needed a system that did not LEAVE with the EA, stayed with the executive and was improved with every assistant that came after them.
I knew there had to be a better way.
One day, I came across coaching frameworks from Matt Mochary, who works with leading Silicon Valley investors and unicorns. I took a quick glance at his bio:

I read through all their resources for operators, Chiefs of Staff, and Executive Assistants and discovered they were created by Matt’s first and former Chief of Staff, eventually COO, Regina Gerbeaux. Regina became the go-to person for some of the top people in the world on what an EA should actually do, how to onboard them, and tons of resources actually teaching EAs how to think. I want to share with you one of the things that really hit me:

Most recently, Regina was the Chief of Staff to Matt Mochary, who is the coach to the CEOs of Coinbase, Brex, and more.
Matt chose Regina to become his first student on how to coach using the Mochary Method Curriculum, and within five months, she became one of the most sought-after coaches. Through this experience, she built community and exchanged tactical solutions with operators from Sonder, Snapdocs, WhatNot, Legend, and Sword Health. Regina became COO of Mochary Method in 2022, where she managed the internal engineering, product, and design team, and was responsible for developing the all-in-one operating system. Q: I know my EA needs help, but I’m honestly not sure if I have the right person.
A:
Few questions to ask yourself:
Does this person have a history of growing? Do you believe if you invest in this person, that they will continue to grow?
Do you see this person growing as your right hand?
If you believe they have been unsuccessful because of the lack of systems, they can always setup the systems for you, and you can see if this impacts their performance.
The program is designed so the systems will stay with you regardless of whether your EA is the perfect fit.
Remember, the only guarantee we are working with is that you will have a different EA one day.
If at any time you believe your EA is not a great fit, we will help you find a new EA and waive our onboarding fee ($3,000).
Q: I have multiple team members. Can we all go through the program together? Is it a separate program fee for each of us?
